Turn multi-site data into operational reports with benchmarks
YMCA South Australia, a nonprofit running more than 65 sites, uses Claude to produce operational reports with cross-site benchmarking, trends and recommended actions, work that used to take a full day.
What they did
Each site produces its own membership, attendance, financial and program data across several databases, so comparing sites was rare and shallow. The organization moved staff onto Claude for Nonprofits and built more than 20 custom skills holding its procedures and standards. Staff feed site data to Claude to compile the reports for leaders and site managers.
How it went
The organization says operational reports that took a full day now take under 30 minutes, and key users save 10 to 15 hours a week across analysis, documents and communications.
Worth knowing
Not all sensitive data (children's services, health, employment records) is put into the AI tool, and the IT manager says the bigger effort was change management. Figures are the organization's own, published by Anthropic.
Try it with Claude
Here are this month's exports for each of our sites: <site data files>. Build an operational report that ranks sites on <key metrics>, shows the trend against the last <number> months, and highlights the three sites that need attention and why. End with recommended actions for each, and list any data that looks incomplete.
